Student Organization Reactivation
Hello Club Officers!
Reactivation for the 2018-2018 academic year is now open. Below you'll find all of the requirements for reactivation listed. As always, you can contact your council advisor if you have questions about the reactivation process. Here is the timeline of dates to be aware of for reactivation this year:
Club Action
As a reminder, the following requirements must be completed during part 1 of reactivation:
- Upload revised constitution into Community
- Ensure 8 active members are listed in your roster (NOTE: it is suggested that you purge your rosters of all students who are no longer in your organization or who will be graduating to ensure all 8 members will be present in the fall)
- Label your new officers (President, Vice President, Treasurer, Secretary) in Community. Ensure that all officers are eligible
- Add and confirm your Advisor in Community
Other items to be aware of during this window of time:
- We will be allowing clubs to opt in to a process to become eligible for tax deductible fundraising to their organization. If you do not wish to pursue this, then no action is needed on your part. If you would like to pursue this, please fill out this form.
- Date set for Executive Officer Retreat: As a reminder, the executive officer retreat is required for all four executive officers (President, Vice President, Treasurer, and Secretary) of all organizations. The date for the 2018 retreat is Sunday, September 9 from 10am-2pm. MARK YOUR CALENDARS NOW!
*** FAILURE TO COMPLETE PART 1 OF REACTIVATION, YOUR CLUB WON'T RECEIVE ACCESS TO COMMUNITY EVENT REQUEST UNTILL AUGUST 1ST.
Council Advisor Action
During this time, council advisors will be reviewing clubs in Community to ensure that all 4 requirements for part 1 of reactivation are completed. At the end of this window, clubs will be notified of their completion of these requirements. If you'd like to check your clubs status or what items are still needed, contact your council advisor.
Club Action
- Appeals notices will be going out to all ineligible officers. Be sure to check with your officers to ensure you are communicating with each other.
Council Advisor Action
In mid-June, the council advisors will be conducting roster checks to ensure all 8 members will be returning to campus in the fall. Community will be purged at this time to remove any students who are no longer attending the university. Additionally, advisors will be conducting grade eligibility checks for all officers.
Club Action
- Complete iLearn course (deadline: August 24)
- Submit fall semester event requests into Community
- Reminder about Executive Officer Retreat: Sunday, September 9, 10am-2pm
- In August, check your roster to see if any members need to be added after Community is purged of graduates.
Council Advisor Action
On July 1, Council Advisors will send out notifications and reminders indicating the start of Part 2 of reactivation. They will also add all club officers to the iLearn course roster. In addition to this, clubs will be moved to "active" to allow them to begin requesting events in Community.
Be sure to register your organization for otter showcase! It is never too early to start thinking about how you're going to table uniquely to recruit new members. With over 1000 new students coming to campus next fall, this is a great opportunity to expand your member base and impact the community!
